The Prompt Manager is the engine room of your Yolando account. This is where you control the exact prompts that are run on AI platforms, which in turn fuels all the data and insights you see across your dashboards.

Understanding Prompts & Topics
What is a Prompt ?
A prompt is a real-world question that a user might ask an AI platform like ChatGPT or Gemini. Yolando runs these prompts daily to analyze how the AI responds.
Examples: "best project management software for startups," "how does Brand X compare to Brand Y," or "which shows are best for running long distance?"
Why it matters: Your prompts are one of the most important things in the Yolando – each AI response to a prompt is analyzed for brand mentions, sentiment, and source citations. This data tells you where you appear, who you appear with, and how you are being framed.
What is a Topic ?
A topic is a high-level category that you use to group related prompts. Think of them as folders that organize your prompts around specific business areas, use cases, or competitive sets.
Examples: Integrations, Features, Industries.
Why it matters: Topics allow you to slice and dice your data. Instead of just seeing your overall performance, you can drill down to see if you are winning the conversation on Pricing but losing on Integrations.
Prompt Attributes
Every prompt in Yolando has two key attributes that help categorize the data for analysis.
Branded vs. Unbranded
Yolando organized prompts into two main categories:
Unbranded prompts: These are prompts that don’t mention a specific brand name (e.g., “best running shoes for marathon training”)
They are used to calculate all key metrics: Discoverability, Share of Voice, Citations, and Reputation.
Branded prompts: These are prompts that directly mention a brand name (e.g., “Are Nike running shoes good?)
To avoid bias, branded prompts are only used to calculate that brand’s Reputation metrics, they do not contribute to Discoverability, Share of Voice, or Citations scores.
In the Topics & Prompts tab, your prompts are grouped into Branded and Unbranded categories for your brand. Only branded prompts contribute to all key metrics. When viewing the page in Competitor Mode, these classifications automatically adjust to reflect the selected brand’s perspective.
Funnel Stages
Each prompt is tagged with a funnel stage to show where it fits in the buyer's journey.
Stage | Description | Example |

MOFU | Middle of Funnel: Evaluation queries comparing specific features, integrations, or use cases | "Running shoes with wide toe boxes” |
BOFU | Bottom of Funnel: High-intent decision queries about pricing, cost, or implementation. | "Affordable running shoes under $150” or |
Managing Your Prompts and Topics
Your Starting Point: The Onboarding Setup
When you first created your workspace, Yolando automatically generated a set of relevant topics and prompts based on your brand and industry. This gives you a strong foundation to start from, so you don't have to begin with a blank slate. The guides below explain how you can review, customize, and expand upon this initial list.
You can find the management tools under Knowledge Base > Prompt Manager. This page provides a complete view of all your active and paused prompts and is where you can make any changes.
How to Add New Prompts
You can add prompts in three ways, all accessible from the Create Prompts button.
Note: Newly added prompts will not have data immediately. They must be run in the next cycle before insights will appear in your dashboards.
A) Add a Single Prompt
Select Add Prompt.
In the pop-up window, enter the following:
Prompt Text: The question you want to track.
Topic: Assign it to an existing topic or create a new one.
Funnel Stage: Select TOFU, MOFU, or BOFU.
Type: Specify if it is a Branded or Unbranded prompt.
Click Save.

B) Generate Multiple Suggested Prompts
Let Yolando suggest new prompts for you.
Select Generate Prompts.
Specify the Topic you want to generate prompts for and the quantity you need.
(Optional) Provide a few keywords or an idea (e.g., "prompts about security") to guide the AI.
Click Generate Prompts.
A list of suggestions will appear. Use the checkboxes to select the ones you want to add and click Add prompts.

C) Bulk Upload Prompts via CSV
This is the fastest way to add a large number of prompts at once.
Select Bulk Upload Prompts.
Prepare a .csv file with the exact following column headers: Topic, Prompt, Funnel Stage.
Drag and drop your file or click to upload.

Example CSV:
Nike_Full_Funnel_Prompts_Example.csv
CSV File Requirements:
File Type: Must be a .csv file.
Headers: The first row must contain Topic, Prompt, and Funnel Stage.
Row Limit: Maximum 1,000 rows (prompts) per file.
Funnel Stage Values: Must be one of TOFU, MOFU, or BOFU (case-sensitive). Any other value will cause an error for that row.
Topics: If you use a topic name that doesn't exist, it will be automatically created.
How to Pause or Delete Prompts
Use the checkboxes next to each prompt to select one or more. A menu will appear with two options:
Pause: Temporarily stops the prompt from running. All historical data is preserved, and you can reactivate it at any time.
Delete: Permanently removes the prompt and all associated historical data from your dashboards. This action cannot be undone.

How to Manage Topics
In the Prompt Manager, click the Edit Topics button.
A new window will appear where you can:
Add Topic: Type a new topic name and click the add button.
Delete Topic: Click the trash icon next to a topic. You will be asked if you want to permanently delete all associated prompts or reassign them to a different topic.

FAQ
Q: How many prompts can I have?
A: The number of active prompts you can run simultaneously depends on your subscription plan. You can view your current limit in your Settings > Billing & Payments page.
Q: How many topics can I have?
A: There is no hard limit on the number of topics you can create. However, for clear and effective analysis, we recommend keeping your topic list focused on your most important business areas (typically between 5 and 15 topics).
